Day 0 — acknowledge in seconds
A WhatsApp message with the brochure goes out within seconds of the form submission, followed by a detailed email. Speed here does more for conversion than any later message: the enquiry is still on your page when the phone buzzes.
Day 1 — make the next step obvious
An SMS with the application link, because SMS lands without data and gets read. One link, one action.
Day 3 — introduce the human
If no application has started, the assigned counsellor introduces themselves on WhatsApp by name. Conversion to a reply roughly doubles against a branded template.
Day 5 — answer the objection
A push notification and an FAQ email covering fees, placements, hostel and eligibility — the four questions that actually stall a decision.
Day 7 — call the engaged
Only leads that opened, clicked or replied get a voice call. Calling everyone burns the counsellor's day; calling the engaged third converts.
Deadline minus three — create real urgency
A countdown on SMS and WhatsApp against the actual application date, not an invented one. Urgency works exactly once if it is honest.
After the application — keep going
Document reminders and fee-payment nudges until the seat is confirmed. A submitted application is not an enrolment.
The branch that matters most
Every step branches on behaviour: opened, clicked, replied, silent, application started, application abandoned. A sequence that sends all seven messages to everyone is a broadcast, and it will train your audience to ignore you.
